Home and Field Services Accounting and Bookkeeping Calgary

A home or field service company earns in small amounts, many times a day, at many doors.

Money arrives by card at the vehicle, by e-transfer, by cash, or by monthly invoice to a commercial client.

Customers pay per visit, by subscription, or by season, so part of the revenue arrives before the work.

The crew is a mix of employees on variable hours with contractors paid per job, each with its payroll and reporting rules.

Vehicles, fuel, supplies, and small equipment eat the margin, because nobody assigns them to the visit that used them.

Lawn, snow, and pool companies earn the year's revenue in a few months while costs run all twelve. Revenue booked as one number hides all of this.

Radiant Skies Advisory & Accounting serves owner-managed home and field service companies in Calgary, Cochrane, Chestermere, Okotoks, and Airdrie.

We keep the books, prepare the financial statements, plan and file the tax, run payroll, and provide Fractional CFO direction.

You choose the services your business needs, and the fee covers that scope.

Bookkeeping, Accounting, and CFO Strategies for Each Service Line

Each line of work creates its own transaction entries. Here is what each service line puts on QuickBooks® Online and which of Radiant Skies' services carries it:

Cleaner's bucket, broom, sponges, and spray bottles lined up against a white wall Window cleaner in a yellow glove pulling a squeegee down a soapy exterior window

Cleaning Services

Cleaning

Payments arrive through a card processor, by e-transfer, and in cash. We reconcile processor and cash deposits to the bank, and merchant fees post as an expense. Bookkeeping owns that reconciliation. We configure service-line reporting, so the accounting reports residential, recurring, and one-time work on separate lines.

Window Cleaning

Residential, commercial, and add-on work bill at different rates. We initiate service-line reporting, so accounting makes clear each line's margin. We reconcile your processor deposits to the bank each month, so bookkeeping points out the fees where they belong.

Pressure Washing

Equipment and trailers carry financing. We manage the asset schedule and loan accounts; the ledger separates principal from interest, and tax claims the CCA. We deploy Fractional CFO cash forecasts, so the season's revenue covers the off-season payments.

Grounds and Seasonal Services

Landscaping

Installs, maintenance contracts, and enhancements earn at different margins. We design service-line reporting, so accounting presents each line on its own. We manage the deferred revenue entry for prepaid contracts, so revenue appears as the season delivers it.

Lawn Care

Season programs collect money before the work. We manage the deferred revenue entry, so the income statement illustrates what the month earned. We deploy Fractional CFO cash forecasts, so summer cash lasts through winter.

Snow Removal

Seasonal contracts pay in advance, and per-push work bills after the fact. We manage the deferred revenue entry for the seasonal contracts and post per-push revenue as earned. We manage the capital asset schedule for plows and salters, with salt and fuel posted as job costs. Tax owns the CCA claim.

Tree Care

Chippers, bucket trucks, and subcontract climbers carry the cost. We manage the capital asset schedule and the equipment loans as principal and interest. We take care of payroll for your crews and the year-end slips for subcontract climbers.

Irrigation Services

Seasonal service and installation work bill differently. We initiate service-line reporting, so accounting reveals each line's margin. We put in place inventory tracking, so parts sit on the balance sheet until a job uses them.

Repair and Installation

Appliance Repair

Parts bought for the truck and parts returned under warranty both move money. We build inventory tracking, so parts sit as an asset until a job uses them. We manage the warranty receivable entry, so credits owed by the manufacturer stay on the ledger until paid. Bookkeeping owns both.

Garage Door Services

Repairs and installs carry different parts-to-labour ratios. We put in place service-line reporting, so accounting brings out each line's margin. We establish inventory tracking for parts, and manage the capital asset schedule for vehicles.

Handyman

Parts bought the same day go onto small jobs. We organize job costing, so accounting provides insight into each job's margin after parts and labour. We post the parts receipts to the jobs that used them and reconcile your deposits monthly.

Installation Services

Labour-only installs and supply-and-install jobs earn differently. We institute service-line reporting, so accounting displays each type of service profitability on its own line. We establish mileage records, so tax claims the vehicle deductions that hold up.

Well Water Services

Pumps, treatment equipment, and service parts drive the job cost. We configure job costing, so you are aware of each job's margin after parts and labour. We put in place inventory tracking, and we manage the capital asset schedule for vehicles.

Property and Facility Services

Property Maintenance

Contract clients create monthly receivables with extras billed on top. We track receivables by property. We initiate reporting by property, so you can see each contract's margin.

Pest Control

Treatment plans collect in advance, and chemicals go out with each route. We manage the deferred revenue entry, so plan revenue lands as visits happen. We configure inventory tracking for chemicals and mileage records for vehicles.

Pool & Spa Services

Service agreements, seasonal openings and closings, and repairs each earn differently. We put in place service-line reporting. We launch inventory tracking, so chemicals stay on the balance sheet until a visit uses them.

Elevator Services

Maintenance contracts pay in advance, and callouts bill per visit. We manage the deferred revenue entry, so contract revenue earns month by month. Accounting prepares the statements your commercial clients and your insurer ask for.

Auto Detailing

Payments arrive by card at the bay or the driveway. We reconcile the processor deposits to the bank, so bookkeeping presents merchant fees as an expense. We track your chemical expenses, labour costs and overheads.

Junk Removal

Tipping fees decide each haul's margin. We initiate job costing, so you know each haul's margin after labour, fuel, and disposal. We manage the truck loans and asset schedule; principal and interest stay separate, and tax claims the CCA.

Dog Walking

Walk packages collect ahead, and walkers work as employees or contractors. We carry out the deferred revenue entry, so package revenue earns walk by walk. We manage payroll for employee walkers and the year-end slips for contract walkers.

What Each Radiant Skies Service Does for a Route-Based Business

Your business happens in the field, not at a desk. Each of our five services takes a piece of that field and turns it into numbers you act on.

Monthly Bookkeeping

Hundreds of card payments, e-transfers, and cash receipts hit your bank each month. We reconcile them to the bank at each monthly close, with merchant fees posted as an expense. Fuel, vehicle repairs, chemicals, and parts land on the service line that used them. We file your GST on its cycle from those books. We keep your WCB-Alberta reporting current.

Accounting Reports by Service Line

Revenue by line, cost by line, and the margin left after the crew and the van. The reports present which routes, zones, and service categories carry the business and which ride along.

Payroll for Field Crews

We pay your technicians, route drivers, and dispatchers on time, with source deductions remitted and year-end slips done. Contractors get their slips too, under their own rules.

Corporate Tax and Compliance

We prepare and file your corporate tax return, with your vans and equipment in their proper CCA classes.

Fractional CFO Direction

When you grow from two service vans to a fleet, bookkeeping alone stops being enough. Before you sign a large commercial contract, we demonstrate the cash it ties up before the first payment arrives.

The Core Financial Challenges We Solve for Alberta Service Companies

Busy All Year, Nothing Left in the Bank - Which services and routes make money?

You are busy throughout the year scheduling your crews. At the year-end you feel that your profit cannot justify your efforts. You look at your financial statements and you see a list of revenues and expenses. We design your financial statements so that you can see the profit contribution of each of your service lines. You then know which service line is contributing and which needs improvement.

Seasonal Contract Money Gone by July, Visits Still Owed - Where does prepaid money sit until the work is done?

Your customers pay for the season in April, and the bank account looks strong. You buy the new mower, hire the summer crew, and run the routes. By July the money is spent, and half the visits are still owed. Your income statement stated the April cash as revenue, so the spring looked like profit and the summer looks like loss. We record each prepaid contract as money you still owe in work, and we release it as the visits happen. Your income statement then indicates what each month earned, not what it collected. You see the real profit of the season, and you know how much of the bank balance is yours.

A Crew of Employees, Casuals, and Subcontractors, and Vans Nobody Costs - Who is on payroll, who is a contractor, and what do the vehicles cost?

You run a crew of full-timers, summer hires, and a couple of operators who invoice you per job. Each one is paid a different way, and you set the terms on the day you needed the help. At year-end you cannot say which workers belong on a T4 and which on a T5018. Your vans sit in the expense accounts as fuel, repairs, and loan payments, and nobody knows what a van costs to run. We run your payroll with each wage posted to the service line that earned it. We file your WCB-Alberta reports from the same records. Your capital asset schedule carries each of your vans, so each one shows its cost and its deduction. You then know what each crew member costs and what each van costs, and the slips go out right.

GST Collected at the Door, Short at Filing Time - Where does the GST go when customers pay at the door?

Your technicians take payment at the door: card, e-transfer, cash, and the odd cheque. The processor deposits the card money days later, net of its fee, in amounts that match no invoice. By the end of the quarter, you know what the bank received, not what you sold or what GST you collected. The return goes in from the bank feed, and the remittance comes out larger than the cash you set aside. We build your GST return from your sales records, not from the deposits. We reconcile each processor deposit to the invoices behind it at the monthly close, with the merchant fee posted as an expense. The same GST return claims the input tax credits on your supplies and fuel expenses. You then know the GST you owe before the filing date, and the money is there to pay it.

Three Apps That Fit a Service Business, Used as Needed

A service business creates its records on the route, at the customer's door, and at the supplier's counter. Think of your books as the truck and the apps as the attachments. The truck runs on its own, and the rack, the tank, and the trailer bolt on when the work needs them.

The Truck - QuickBooks® Online

QuickBooks® Online carries the route, the door, and the counter on its own. Your monthly close runs on it alone, with nothing bolted on.

Optional Attachments You Bolt On

Three apps bolt on when the visit count calls for them, and you choose which ones, if any, you need.

Receipts and Supplier Bills: Dext®

A technician photographs the receipt at the parts counter, and the office forwards monthly supplier bills by email. Dext® reads each one and sends it to QuickBooks® Online with the supplier, amount, and tax in place. If crews buy on the route and suppliers bill monthly, we connect Dext® by service line.

Customer Pre-Authorized Debits and Supplier Payments: Plooto®

Plooto® collects recurring customer payments by pre-authorized debit, so a monthly cleaning contract pays itself on its date. It pays your suppliers and subcontract operators once you approve each bill. If you carry recurring contracts or pay several suppliers a month, it replaces the payment chase and cheque run.

Routes, Visits, and Customer Invoices: Jobber®

Jobber® runs the route, schedules the recurring visits, and turns each completed visit into an invoice. If you run your routes in Jobber®, we link it to QuickBooks® Online for invoices and payments.

The Monthly Close, With or Without the Attachments

A field service company runs on paper that never makes it back to the office: the parts receipt in the van, the fuel slip under the seat, the e-transfer the customer sent from the driveway.

The attachments catch that paper where it happens.

Dext® photographs the receipt on the hood and files it with its picture.

Jobber® turns the closed visit into an invoice and a payment in one step.

Plooto® collects the snow contract on its date without a phone call.

We set them up for you and connect them to QuickBooks® Online during onboarding, before your first monthly close. How we onboard a new client covers that first month. A company with no attachments still gets the same close; it begins with the paper in the van.

A Flat Monthly Fee That Acts Like a Service Agreement

You price a gutter clean, a snow route, or an appliance call before the truck leaves the yard. The customer knows the number, and the number holds whether the job takes forty minutes or ninety. We price our work the same way.

Your quote is one flat monthly fee before the first close, and we confirm it in writing.

The fee holds through a hard February of snow runs and a quiet mid-season stretch alike.

No surcharge lands when your routes hit peak season.

A new service line, a second truck, or a jump in visit count is a change in scope.

We price the change with you first and put it in writing, like an addendum to a service agreement.
