Oilfield Services and Trucking Accounting & Bookkeeping Calgary
Oilfield Services, Trucking - Accounting and Bookkeeping Calgary
Your crew finished the job on Tuesday. The ticket got signed, the invoice went out, and the money will arrive when the producer's office gets to it.
In the meantime, the truck payment cleared, the fuel card bill arrived, and Friday is payday.
Every oilfield service and trucking owner in Alberta knows that stretch. Your books should tell you how long you can carry it, and which truck is worth carrying.
Radiant Skies Advisory & Accounting serves owner-managed oilfield services and trucking companies in Calgary, Cochrane, Chestermere, Okotoks, and Airdrie.
We close your books each month, prepare your financial statements, file your tax, run your payroll, and forecast your cash. You pick the services you need, and one fee covers them.

What Each Kind of Work Puts on Your Books
Oilfield Services
Well Servicing and Field Maintenance
A service rig, a maintenance crew, a safety consultant, and an environmental contractor earn by the job. Each job becomes its own project in QuickBooks® Online. Each invoice you send and each bill you pay lands on the job it belongs to. By month end each job tells you what it earned after crew wages, parts, and consumables. Over the year the jobs rank the producers and the work types that earn your margin.
Vac, Water, and Fluid Hauling
A vac truck, a water truck, and a fluid hauler each bill by the load and the hour. We give each truck its own place in QuickBooks® Online, with its own revenue and its own costs. Repairs, tires, insurance, and the driver's wages charge against the truck that used them. By month end you read which trucks pay their way and which ones cost more than they haul. Each truck and its loan sit on the balance sheet, and we post interest and depreciation at each monthly close.
Equipment Rentals
A light tower, a generator, a heater, and a matting set go out on rent by the day. Each unit lives on your capital asset schedule with its purchase cost and its loan beside it. Rental income flows to the unit that produced it, and repairs and transport follow the same unit. That pairing marks which units cover their loan payments and which ones idle in the yard. At year end your tax return claims the CCA the CRA allows on each kind of unit.

Trucking
Local Freight and Hotshot
A hotshot truck runs parts to a lease at midnight, and a local freight truck makes ten drops a day. Each run has a driver's hours behind it and an invoice in front of it. We code both to the truck, so each truck matches its wages and repairs against its freight revenue. Your monthly statements separate the shippers who pay on time from the ones who stretch you. That split, by truck and by shipper, decides which work you chase next.
Gravel and Aggregate Hauling
A gravel truck hauls by the tonne, and the scale ticket backs the invoice. Each load's revenue and its tires, repairs, and driver wages attach to the truck that ran it. Month by month, each truck and pup trailer weighs its revenue against its loan payment. Trucks and trailers hold their place on the balance sheet, and your tax return takes the CCA on each.
Long-Haul and Owner-Operator Fleets
A highway tractor crosses provinces with a company driver in the seat or an owner-operator under contract. Company drivers draw wages through payroll, and we remit their deductions on the due dates. Owner-operators invoice the carrier, and we prepare their year-end slips from those invoices. An owner-operator who drives for one carrier under the carrier's control can look like an employee to the CRA. We flag that arrangement, and the personal services business risk for an incorporated owner-operator, before the CRA raises it.
Heavy Equipment Hauling
A low-bed trailer moves an excavator, a dozer, or a drilling rig from one site to the next. An oversize move needs permits, a pilot car, and a route plan, and each cost belongs to that one move. We open a project for each move, so permits, pilot cars, fuel, and the driver's hours stack against its invoice. The closed projects then price your next quote, because you know what the last move of that size cost.
Book My Free DiscussionWhat Each Radiant Skies Service Does for a Company With Trucks
Bookkeeping:
The monthly close for trucks and loads: Each month we reconcile your bank accounts and loan statements against your books. Each fuel card statement posts as one bill, split by truck, so the fuel sits on the truck that burned it. We file your GST return from those books, and we keep your WCB-Alberta reporting current.
Accounting:
Income Statements by truck and by job: Each month the accounting service delivers revenue, costs, and margin for each truck and each job. One page sorts the units that carry the company from the ones that drag on it.
Payroll:
Drivers and operators paid on their day: The payroll service pays your drivers and operators and remits the deductions on their due dates. Owner-operators and subcontractors receive their year-end slips from us.
Corporate Tax:
The tax return with the fleet on it: The tax service takes CCA on each truck, trailer, and unit at the class the CRA assigns. We prepare the return from the same books, so the fleet, the loans, and the income agree with your statements.
Fractional CFO:
A forecast before the next truck: Before you sign for the next unit, the CFO service lays out how many paid days a month it needs. Before you take a producer's contract, we spell out how long your cash lasts on their payment terms.
Book My Free DiscussionChallenges Oilfield Services or Trucking Owners Bring to Us
No Margin by Truck - Which truck loses you money?
The fleet total says the company made money. It does not say which truck made it and which truck ate it. Our Accounting Services displays each truck with its own revenue and its own repairs, tires, insurance, and driver wages. At each monthly close the customized financial statement lines the trucks side by side, and the weak unit stands out.
Slow Producer Payments - How long does your cash last?
A producer approves the invoice in its own system and pays when its cycle allows. Meanwhile the loan, the insurance, and the driver's wages fall due on fixed dates. Our Bookkeeping Services list every open invoice by customer and by how old it is at each monthly close. Our Fractional CFO Services carry that wait into your cash forecast, so you know how long the bank balance holds.
Contractor Reclassification Risk - Is your owner-operator an employee to the CRA?
Drivers on payroll and owner-operators on invoice can do the same haul on the same day. The CRA reads the working relationship, not the contract, and one carrier with one owner-operator draws its eye. An incorporated owner-operator can lose the small business rate if the CRA calls the corporation a personal services business. Our Payroll Services pay the drivers and prepare the year-end slips for each group. Radiant Skies Bookkeeping Services keep your WCB-Alberta reporting current. Our Tax Services flag the arrangement that carries reclassification risk before a ruling arrives.
Unclaimed GST on Fuel and Repairs - How much are you leaving with the CRA?
Each fuel card statement and each repair bill carries GST that comes back to you as a credit. A statement that stays in the glove box leaves that credit with the CRA. Our Bookkeeping Services post each fuel card statement as one bill and each repair bill to its truck at the monthly close. The credits then reach your GST return, and our Bookkeeping Services file that return from the same books.
Book My Free DiscussionThree Apps That Fit a Company on Wheels
The Tractor: QuickBooks® Online
QuickBooks® Online pulls a trucking or oilfield services company's books on its own. Your bank, your loans, your invoices, and your payroll run through it, and the monthly close comes out of it. Three apps hook on behind it when the paper piles up, and none is required.
Fuel, Parts, and Repair Bills: Dext®
A driver photographs the parts receipt, and the office emails the repair shop's monthly bill. Dext® reads each one and posts it to QuickBooks® Online with the supplier, amount, and tax filled in. If your receipts come in from the road, we install Dext® for you.
Service Calls Billed per Visit: Jobber®
Jobber® fits the oilfield services company that schedules service calls and bills each visit. We help you link it to QuickBooks® Online, so each invoice and payment reaches the books once. A dispatch system of your own that connects to QuickBooks® Online works the same way.
Paying Owner-Operators and Suppliers: Plooto®
Plooto® pays your owner-operators, haulers, and suppliers after you approve each invoice on your phone. It records the payment in QuickBooks® Online, so each contractor's total is ready for year-end slips.
With or Without the Apps, the Month Closes
We reconcile your bank accounts and loan statements at each monthly close, and each fuel card statement posts as one bill. The apps change what the close has to work with.
A receipt photographed on the road reaches the books with its image attached, so the CRA sees the document behind the entry.
A bill you approve on your phone goes out on the day you choose, and the contractor's total sits ready for their year-end slip.
A customer's pre-authorized debit arrives without a reminder call.
We set up the apps you choose and connect them to QuickBooks® Online, as our onboarding playbook describes.
Book My Free DiscussionOne Rate, Agreed Up Front, Like Your Own
You quote a rate per hour, per load, or per day, and your customer holds you to it. Your accountant should hold to a rate the same way. Our fee is one fixed monthly amount, agreed before the first month and written down.
A call about a producer's rejected invoice adds nothing to the fee.
A record month of hauls adds nothing to the fee either.
The fee changes when your fleet or your crew changes, and we agree the new amount first.
